Setting up sales: payment, delivery, VAT
The shop's Settings tab, section by section: legal framework, basket, VAT and currency, payment methods and Stripe account, delivery, display and vocabulary.
The shop's Settings tab brings together everything that governs your sales. A search field at the top of the screen takes you straight to a particular setting. Remember to click Save at the bottom of the page: the message “Settings saved” confirms it. Most settings apply to the live site the next time it is published.
Identity and legal framework
- The shop's name and tagline come from your catalogue page: you can read them here, and edit them in Showcase pages.
- The seller's legal identity (company name, address, company registration number, VAT number) is entered in the account's global settings, see Your legal identity. It appears in the checkout process and at the foot of the emails sent to your buyers.
- Your terms and conditions of sale: a link to a page on your site or an external address. Until this is filled in, sales are blocked.
- The email address and phone number shown to customers: replies from your buyers to their order emails arrive at this email address.
Basket and orders
You can set a minimum order amount (excluding delivery, 0 = no minimum), decide whether the phone field is absent, offered or mandatory, and add a free-text field to the checkout process (“Delivery instructions”, for example).
Prices, VAT and currency
- Currency: euro, Swiss franc, US dollar or Canadian dollar. It is locked once the first order is placed.
- VAT scheme: VAT exemption (VAT not applicable), VAT applicable, or outside the scope of VAT. Your company's country comes from your legal identity.
- Your VAT rules: each rule has a name and an applied rate, either the shop's rate, the VAT of the delivery country, or a custom rate. A rule can be declared as the default for products that don't choose one. Twenty rules maximum.
- Prices are entered inclusive of all taxes; VAT is extracted from them and fixed on each order.
Payment methods
There are two methods, which can be combined: bank card (Stripe), collected automatically, and bank transfer, which you confirm manually from your orders. For bank transfers, enter the account holder, the IBAN and the BIC: these are checked as you type and sent to the buyer along with their order reference. There is no payment by cheque or on delivery.
Each method shows its status: “Active”, “Awaiting Stripe activation”, “Stripe account not connected” or “Incomplete configuration”. One active method is enough to sell.
Connecting your Stripe account
- In the left-hand column of your account, open Receive payments, then click Connect my Stripe account. You'll be taken to Stripe to create or link your account: the money from your sales is paid there directly, and we keep no secret keys.
- Back in WebAcappella, the card shows “Ready to collect payments” or “Onboarding to be completed on Stripe” if Stripe still needs information from you. The Refresh status button updates the display after a change on Stripe's side.
- In the shop settings, add the Bank card (Stripe) payment method: it switches to “Active” as soon as Stripe has validated your account.
Delivery
Delivery only concerns products marked as “to be shipped”. Enable Offer home delivery and choose the pricing method: a flat rate per order, tiers based on the basket amount or tiers based on the weight shipped. For tiers, enter the limit and the charges for each tier, then the charges beyond the last tier: 0 means free delivery from that threshold onwards (carriage paid). You can also offer click and collect, with the collection location and opening hours.
Catalogue display
The Display tab controls the appearance of thumbnails throughout the site: photo framing (fill the frame, or whole photo without cropping), a second photo shown on hover, and keywords offered as filters beneath the search field.
Catalogue wording
The Catalogue wording section lists the words you use in your criteria and characteristics (Colour, Size, Material…) along with their values. Here you can rename a word, merge values written in several different ways, or tick Do not translate its values for a brand name. Renaming affects neither your prices, nor your stock, nor variants that have already been sold.
